Privacy & data

Last updated 11 September 2026. This notice explains what we collect when you use Formalini, and what you can ask us to do with it.

Who we are

Formalini provides software that converts documents into structured data. For your account data we are the data controller. For the documents you upload we act as a processor on your behalf — see the data processing terms.

What we collect

  • Account data — email address, name, workspace name, role.
  • Documents you upload — the original file and the values extracted from it.
  • Usage data — credits consumed, storage used, processing events and errors.
  • Billing data — plan, subscription status and payment identifiers held by our payment provider. We never store card numbers.

Why we use it

  • To provide the service you signed up for, including AI extraction of the documents you submit.
  • To enforce plan limits and bill you correctly.
  • To keep the service secure and to investigate faults.

AI processing

Document images are sent to our AI provider solely to extract the fields you requested. They are not used to train models. Extracted values are stored in your workspace until you delete them.

Sharing

We share data only with the providers needed to run Formalini: cloud hosting and database, the AI extraction provider, and our payment provider. We do not sell personal data or use it for advertising.

How long we keep it

Documents and extracted values are kept until you delete them or close your account. Account and billing records are kept for as long as required by law, then deleted.

Your rights

You can request access to, correction of, or deletion of your personal data, and object to processing. Email privacy@formalini.com. If you are in the EU or UK you may also complain to your local data protection authority.

Security

Files are held in private storage reachable only through short-lived signed links. Data is encrypted in transit and at rest, and access is scoped to your workspace.
